NON-LEGAL POSITIONS

Receptionist 

The Receptionist is our Ambassador of First Impressions, with a primary goal of building relationships with our former, current, and potential new clients via email, telephone and in person. The Receptionist is responsible for answering the phone, triaging calls, taking messages, directly assisting callers whenever possible, managing appointment calendars, routing incoming and outgoing mail and welcoming visitors. As time allows, the Receptionist may provide basic administrative support to other team members and act as back up when other administrative support personnel are out of the office. 

Intake Specialist 

The Intake Specialist's primary goal is to book consultations for qualified leads and to pre-condition them for purchasing the firm's legal services.  The Intake Specialist achieves this goal by (1) screening and pre-qualifying leads; (2) explaining the Firm's process for intake and engagement; (3) scheduling initial consultations; (4) initiating the pre-engagement glidepath; (5) capturing information in the Contact Relationship Management (CRM) System and Lead Tracker spreadsheet; (6) following up with PNCs that do not schedule or attend an initial consultation; and (7) reporting on assigned metrics. 

Client Relations Specialist (Inbound Consultative Sales) 

The Client Relations Specialist (CRS) is a non-attorney salesperson that is responsible for conducting inbound sales conversations with potential new clients that have been pre-qualified to purchase legal services from the Firm. The primary role of the CRS is to conduct initial consultations with potential new clients (PNCs) and follow up with PNCs that did not attend the consultation or engage the firm's services during the consultation. Responsibilities of the CRS include understanding of the PNC's goals, identifying the PNCs concerns, explaining the any services the firm can offer to assist with a resolution, helping the PNC make an informed decision about the best course of action, and clarifying the next steps in the process. Upon engagement, the CRS will successfully on-board the new client and make a warm handoff to the legal team.  

Firm Relations Specialist (B2B and B2C Marketing) 

The primary goal of the Firm Relations Specialist is to establish and strengthen relationships with professional referral partners (B2B) and the Firm's current and former clients (B2C). The Firm Relations Specialist will accomplish this goal by executing the Firm's back-end marketing systems via phone, text, mail, email, videoconferencing, webinars, workshops, or in-person meetings. The Firm Relations Specialist is also responsible for maintaining records and reporting on progress toward achieving established Marketing goals. 

Marketing Assistant 

The primary responsibility of the Marketing Assistant is to relieve the Owner of executing marketing-related tasks so the Owner can concentrate on work that is of higher value, such as managing the firm, providing direction to the legal team, and serving our clients. Marketing Assistant responsibilities may include obtaining testimonials from happy clients, managing Social Media accounts, posting blogs, bios, and content to the Firm's website, sending newsletters, etc. The Marketing Assistant is responsible maintaining records of communications and reporting on progress toward achieving established goals. 

Billing & Collections Specialist 

The Billing & Collections Specialist's primary goal is to manage the Firm's billing process, retainer replenishment process and A/R collections to ensure that the Firm always has sufficient cash to meet cash requirements, and to ensure that the legal team is only working for paying clients. The Billing & Collections Specialist must be detail-oriented, customer-focused and possess exceptional follow up and negotiating skills. Proficiency in Microsoft Excel and accurate record-keeping is required. The Billing & Collections Specialist is responsible for reporting metrics related to the Firm's financial goals.

LEGAL POSITIONS 

Legal Assistant 

The Legal Assistant's primary goal as part of the legal team is to complete administrative and lower-level legal tasks so the Paralegal and Attorney's time can be spent working on more advanced substantive work. Assigned support tasks under the direction of an Attorney might include drafting legal forms, documents and correspondence; calendaring deadlines and reminders; communicating with clients via email, phone or in person; copying, scanning and filing records; updating records in the Case Management System (CMS); and completing miscellaneous tasks assigned by senior members of the legal team. Legal Assistants provide quality legal services to our clients at a lower billable rate than an Attorney or Paralegal, and by doing so, benefits both the Firm and our clients. 

Paralegal 

The Paralegal's primary goal is to support our Attorneys by assisting with legal research, drafting memos, pleadings, motions, and orders, and preparing for hearings and trials, under the direction of one or more Attorneys in the office. A Paralegal provides quality legal services to our clients at a lower billable rate than an Attorney, and by doing so, benefits both the Firm and our clients. Paralegals are required to meet the minimum billable requirements set by the Firm and report on progress toward achieving assigned goals. 

Sr. Paralegal/Case Manager 

The Sr. Paralegal/Case Manager's primary role is to ensure court-related and internal deadlines are calendared accurately on the Firm's Master Calendar and that client matters move efficiently through each phase of production from engagement to case closure. The Case Manager helps to manage legal team and clients and resolving issues, ensuring client records are updated in the case management system, and may assist with conflict checks, client communications, prepping client documents for delivery and managing client billing.
